| Member Menu Items - Registration |
| The registration section starts with the user choosing the following three items: Action (Review Existing Member, Enter New Member), Listing Method (By Name, By Id), and Active Status (Active, Inactive,Both). The system will remember your choices. Clicking a process button at this time will list all 4H members based upon the users selections. Click on any listed member and his/her registration card will be displayed. This screen contains all of the fields one would expect plus a few special ones. Fields like City, School Name, Race, Residence, Grade, etc. will open and display lists that the user can select input from. Some of the special fields are: Email Address, Photo (you can store a photo of the member on the registration card), Notes (An open ended memo field that typed information specific to the member can be placed. This has no size limit). There are buttons for entering Clubs (or Units) (A parameter can be set for allowing between 1 and 12 clubs), Projects (A parameter can be set for allowing between 1 and 60 projects). The clubs and projects list are smart. If you enter a member in either, the list box displaying the remaining clubs or projects will update to prevent duplications. From this screen you can get to the members Horse, History, Parent(s) Info. Prior or Next buttons will take you up or down quickly in the list of members. Clubs work like projects. The system is real time, the minute you sign up a member for a project, if you list projects, the member will be listed as one of members taking the project. The fields on the registration card are user definable and locatable so you can design your own registration card. The system keeps track of the last time a member record was changed. This will be touched on elsewhere. |
| Member Menu Items - Units (or Clubs) |
| Clicking the Units menu item will display a list of all active clubs. Members, Leaders, Clubs, and projects can all be flagged as inactive. The system save them in case there become active at some later time, but while inactive will not display or be part of any reports, etc. Click on one of the listed clubs and the system will display a list of all members in the club. If you then click on one of the listed member, you will be taken directly to the members registration card. A listing or detailed report on the club is available at this time. |
| Member Menu Items - Projects |
| The projects screen works as above plus several other features. There are five different project reports. Projects can be linked to clubs on an optional basis. And, again, any member listed on this screen can have his/her registration card displayed by simply clicking on the member in the list. You will find that anywhere in 4HPlus! a member id is displayed, you can get to that members registration card by just clicking the id. |
| Member Menu Items - SQL |
| SQL. This you have to see to believe! In short, you can via clicking buttons, ask the system for a Count, List, Labels, Report, or Mail Merge file generation for any question you can think of and sorted by any order. Lists generated on screen give you the same click on the member id feature to call up the members registration card. If you request labels, you can chose from the entire set of Avery labels for printing. You can even 'gray' out missing labels so label sheets can be used over and over. Reports can be sent to screen or printer or file. Any SQL request you make is saved in a queue so if you want this same request at a latter time, the system will know exactly what and how to do it with one mouse click! Ok, so what is an example of something you could ask for? Print mailing labels (remove duplicates based on address) for all female members between the ages of 10 and 14 if the live on a farm and are taking any one of the following three projects. Yes, you can do things like this with just a few mouse clicks. |
| Member Menu Items - Reports/Utilities |
| There are several canned member reports in addition to the SQL feature above. Alpha listing, Horse data, History data (the system supports a complete year to year history data set keeping track of member clubs, projects and completion thereof for every year the person is a member), Member Publictions (the system supports a complete publications section that allows you to associate needed publications with projects. After a member has been signed up for all his projects, you can then print a report for the member (or all members at once) that will list all needed publications and the cost per member.), Project completion report, Member completion certificates, Name Tags, plus several other reports. |
